Considering a Day of Coordinator for Your Wedding Day? Here’s Why You Should Do It: Chantelle Ashley Events

If you’ve been planning your wedding for any length of time now, then you’ll know that there’s so much work involved in ensuring that your wedding day runs smoothly. This is likely the first big event you’ve had to plan and you may begin to feel overwhelmed by the process. Aside from booking a venue, contacting vendors, finding decor and inspiration on top of many hours spent planning, when the day finally comes, you just want to enjoy it. If you value creating an experience on your wedding day, enjoying all the moments and spending time with your people - not worrying about the smaller details. Then hiring a day of coordinator is exactly what you need on your wedding day. In this blog post, I’ve invited wedding and event planner, Chantelle Ashley Events, to chat with us about why couples opt to hire a day of coordinator and how they can help to simplify your day.

Chantelle Ashley Events is a wedding and event planning business located in Melfort, SK and services all over Saskatchewan. With a newborn in tow, she’s a superstar who we are thrilled to have on the blog sharing some insight into what a day of coordinator does, and why she would recommend this service to all couples getting married:

Introduce yourself.

Hello, I am Chantelle with Chantelle Ashley Events.

In 2018 I began attending 6-8 weddings on average a year, this was only the beginning of my inspiration. I’ve always pictured my own wedding since I was a little girl. In 2021 I was able to make my wedding dreams a reality with my own wedding. Immediately the following day I wanted to do it all again, I didn't want our wedding day to ever end. Becoming a wedding planner/coordinator, I want all my brides to feel the same way.

After attending a wedding in Vernon, BC and observing a wedding coordinator, I was inspired to find out how I could educate myself to be able to provide a smooth, relaxing and enjoyable day for other brides. On the drive home to Saskatchewan, I enrolled myself in multiple wedding planner courses and became a certified wedding coordinator in August 2022.

Why do couples opt to hire a day of coordinator for their wedding day?

Hiring a day of coordinator ensures that the bride & groom, along with their family and friends can enjoy the day without a worry. A wedding coordinator can make sure that the couple hasn’t missed any details in their wedding plans. We come in and set up the decor for both the ceremony and reception. Couples who require a room flip between their ceremony and reception can rely on their coordinator to make this a smooth process without having to bother friends and family. Knowing that you’ve put these tasks in the hands of a professional can leave the couple at ease.

By creating a detailed timeline for the wedding day and being in close contact with the other vendors, the coordinator keeps the day running on schedule. Any issues that may arise on the wedding day, the coordinator is there to address so that the couple & their family can feel relaxed. It is so important that the couple can enjoy their day and see all of the hard work they put in months beforehand come to life and be able to celebrate with their guests!

What does a coordinator do on a wedding day?

On the wedding day the coordinator follows a very detailed timeline. The coordinator knows when each vendor is arriving and when they are done for the evening.

The coordinator and their team set up all the details, rentals, decor for the ceremony and the reception. As mentioned before, if there is a room flip that needs to happen the coordinator and their team ensures that this is a smooth process.

Throughout the day any issues that arise are up to the coordinator to handle. There are not many wedding days that go completely as planned whether it be a minor detail or something more major. It is the responsibility of the coordinator to swoop in and make sure that these issues are handled in a professional manner without interrupting the wedding day.

In some packages, it is the role of the coordinator to also take down the wedding decor at the end of the night and package it all up for the bride and groom.

The wedding coordinator can take the lead to rehearse the ceremony with the couple, their wedding party and the rest of their procession the day before the wedding as well.

Why would you recommend a day of coordinator to couples?

I would recommend hiring a day of coordinator to couples who are planning their wedding day, know what vendors they are wanting to be present and have a vision of what they want their wedding day to look like. The coordinator can physically bring the couple's vision to life, ease the stress of the day and take on tasks that otherwise would be delegated to friends and family.

Couples who want to be present with one another and not ask their families to take on the tasks of their wedding day would be a great fit for a wedding coordinator. Depending on the venue, if there is a room flip, chairs to be moved from an outdoor ceremony to an indoor reception, and decor to be setup these are all tasks that the coordinator takes upon themselves.

Whether the couple is planning a small, intimate wedding or a large-scale wedding a coordinator can bring the day to life and allow the couple to sit back and celebrate their day amongst their friends and family!
